We are looking to recruit a Payroll Administrator who is responsible to run the entire payroll function (multiple companies), ensuring pay is processed on time, accurately, and in compliance with government regulations. Provide direction and guidance to HR on payroll matters. As SuperUser maintain the integrity and structure of the payroll technology. Perform consolidations and reconciliations.

Superuser
Managing the Sage People (300) and Trac Tech SuperUser for HR and Payroll ensuring that the system complies with all legislation
Sage set ups, back end calcs, ESS user set ups, new positions etc
User access control
Sage updates and backups
Managing the database in conjunction with IT
Set up reports and pulling extra ordinary reports
Liaise with Sage and Trac Tech on all system issues
Providing system support to all users
Prepare, agree and distribute annual payroll calendar

Payroll

End to end payroll for 5 companies (300 employees)
Process new starters
Process terminations and termination documents
Prepare and process annual leave payments
Calculating and loading commissions and gratuities
Collating all monthly info from all departments, check and validate all info for correctness.
Final checking of payroll with stakeholders
Process monthly payroll accurately as per deadline dates.
Printing and distributing payslips
Balancing payroll, control accounts, reconciliations and doing journals
Reconcile Payroll to General Ledgers monthly.
Reconcile all Salary related general Ledgers monthly.

Payroll reporting
Preparing financial month end reports
Prepare accurate month-end Payroll repots and related journals for senior management.
Track and report costs on key payroll and benefit items for senior management.





3rd Party & statutory recons and payments
Process benefits enrolment forms and changes to (health, life, and disability insurance plans)
3rd party reconciliations, submissions and payments
Reconcile, balance and payment of loans, advances and garnishees
Submit all Statutory requirements on time

Employee Benefits

Maintain and organize personnel, benefits, and payroll Files.
Send documents to Medical Aid, pension, and Provident Funds.
Contact person for Medical Aid, Pension and Provident Funds and all Third Part related payroll queries.
Reconcile all benefits related invoices and prepare for payment.

ESS

Management of ESS including users, payslip and IRP5 uploads

Trac Tech

Pull reports
Pull through hours to payroll

Annual leave provisions

Calculation of annual leave provisions

PAYE / SARS
Preparation and submission of EMP201 and EMP501’s
Mid and year end PAYE reconciliations
IRP5 preparation and distribution
Application for tax numbers on behalf of employees and application for tax directives
Management of the ETI
Reconcile SARS Monthly, quarterly, and annual returns.

UIF

Balancing, payment and submission of UIF declarations
Preparing, submission and distribution of TERS claims and maintaining audit files
Preparing UI19’s
Dealing with UIF queries
Managing employees in the UFiling portal

Other

Liaising with stakeholders
Problem and query resolution and feedback to stakeholders (HR, Managers, staff, 3rd parties) within a 24 working hour turnaround period
Providing systems support
Assist with the submission of Employment Equity, Skills and BEE Reports
Prepare annual worker’s compensation reports
Assist employees with payroll and system related questions.

Requirements
Requirements:
Grade 12
NQF 5 – Payroll Diploma / Degree (advantage)
5 – 8 years’ experience in payroll administration
MS Office proficiency (Advanced Excel)
Demonstrated proficiency on SAGE 300 (People) as a SuperUser (all modules)
Proficiency with Trac Tech
Clear criminal record
