The Position

The role of the Academic Administrator will be to assist Programme Manager and lecturers with all tasks involved in running the department and its programmes.

Responsibilities include:

General Administration

•Assist programme managers and lecturers with general administrative matters
•Assist the team with general administrative matters
•Keep minutes of meetings
•Distribute relevant academic material/communication to contractors/facilitators.

Managing Independent Contractors

•Load all contractor information on the system
•Update of all contractor documentation
•Manage the claims process for the department (check, capture, get sign-off, hand in)
•Assist with contracting/briefing of part-time academics
•Organise logistics for training sessions with part-time academics

Assist with programme management functions

•Assist with the student admission process where necessary
•Assist with the student registration process where necessary
•Capture external student exemption decisions on the system and communicate to students
•Assist with internal module exemptions where necessary

Assist with programme oversight functions

•Assist with the implementation of admission and selection policies for the assigned programmes (ensuring all entry criteria met and approval of selection and admissions)
•Assist with the implementation of the at risk management process on selected programmes
•Assist with preparation of documentation required for programme oversight

Customer Service

•Address student and client administrative queries
•Ensure the student profiles are kept up to date with all contact intervention information and/or academic information
•Deal with student / facilitator / part-time academic / client queries (email, telephonic and online system) as and when necessary
•Build good relationships with internal departments, part-time academics, clients and students.
•Maintain professional relationships will all Milpark management and staff
•Deal with student complaints/concerns are channeled to the correct department and solved to the student’s satisfaction.
•Build good relationships and liaise with internal department, part-time academics and corporate clients of Milpark.

Academic support

•Manage and maintain the general framework of myMilpark for allocated qualification(s). Provide general student support on myMilpark.
•Assist with the administration of the At Risk process
•Request; gather and action the contractor feedback documentation
•Co-ordinate the ordering and delivery of assessments/support material from printers to logistics department
•Planning and tracking of the assessment and programme-related processes
•Arrange the marking sessions and liaise with the relevant contractors
•Action and follow-up on configuration and assessment-related matters

Special Projects

•Assist in administrative tasks, planning, organizing and control in the delivery of special projects as determined by management.
•One of the major focus areas for this position would be to perform academic administrative tasks for the Amended Senior Certificate qualification.

Education & Experience Requirements

•Diploma in any business related field, or equivalent
•Two years’ experience in an administrative role in an educational environment
•Experience in dealing with students in a FET or HET environment
• Experience in administration of the Amended Senior Certificate would be an advantage
