Receiving of batches
Receive batches from Senior clerk scanning
Compare batch numbers on the list submitted against physical
Sign batch list to confirm receipt thereof.
Preparations of incoming batches
Sort documents accordingly.
Paste slips e.g receipts on an A4 paper with glue.
Tipp-ex barcodes on the Id copies.
Bigger documents must be cut into an A4 size to fit into the
Insert “Patch Separator Sheets” between each policy number/BB
Documents must be packed neatly for easy scanning.
Sign on the batch list to confirm preparation.
Scanning, indexing and linking of documents
Pack documents in number order as it appears on the batch list.
After all the documents have been scanned, retrieve the
information from system.
If the quality of scanned documents is not clear repeat the
Index policy number into the system.
Where there are more than one policy numbers that belongs to
one policyholder, the policy numbers must be linked.
Master Fische enquiries
Receive a list from relevant departments with regards to Master Fische enquiries.
Master Fische is kept in the safe for safekeeping.
Remove relevant Master Fische film from the safe to make copies.
File back Master Fische films after use in numerical order.
Ensure that scanned documents are sent for archiving
Ad hoc duties
Send queried copies to the relevant department.
Assist as and when necessary to achieve the departments objectives.
QUALIFICATION REQUIRED FOR THE POSITION:

1-year Office Administration.
